• 1) Registered guest must be at least 25 years of age to book with Pigeon River Cabin Management Services
    2) Directions and key codes will not be sent to you until we have received all RENTAL FEES AND A COMPLETED AND SIGNED RENTAL AGREEMENT!
    3) Check out the cabin upon your arrival. If you see a problem notify us immediately. If you do not notify us we can not fix the problem. We try to maintain our cabins and keep everything in working order, but things do break. Please do not wait until the end of your stay to notify us of a problem. If you fail to notify us of damages upon your arrival you will be held responsible
    4) Upon arrival you will find the thermostat set at 60 degrees in the winter and 80 degrees in the summer. Please set the thermostat to these temperatures upon your departure
    5) If damage was done during your stay, remember that you accept responsibility for the unit. Contact us at once to report any damages. It is much better for us both to settle these problems while you are still in town.
    6) Any damages beyond normal wear and tear that occur during your stay, we reserve the right to charge you for them. Please treat this rental property with respect as if it was your own.
    7) Since we do not charge a damage deposit, WE DO REQUIRE A CREDIT CARD in case of damages. If you do not supply us with credit card information, we reserve the right to cancel your reservation.
    8) If the cabin you are staying in has an Electric Fireplace Insert in the fireplace, then insurance regulations do not allow a fire in that cabin. YOU CAN NOT HAVE A FIRE IN THESE CABINS. NO EXCEPTIONS.
    9) Pets are allowed, ONLY in our pet-friendly properties. There is a $ 50.00 pet fee required when booking your stay. If you are found with a pet in a cabin without permission, you will be charged a minimum of $200 for expenses of carpet and furniture cleaning and flea prevention. PETS ARE NOT ALLOWED IN THE HOT TUBS. If you allow your pet in the hot tub you will be charged a $200.00 cleaning fee!
    10) All pets left unattended in the cabin MUST be kept in a travel crate! Pets are not allowed on any furniture, including beds.
    11) Cancellation Policy: if you cancel more than 30 days prior to the arrival date, you will receive your deposit back MINUS $100.00, we will issue your refund by CHECK! If you cancel within 30 days prior to your arrival, you will forfeit your monies paid! We will allow ONE change made to your reservation and that change must be made more than 30 days prior to your original arrival date. Reschedule date must be given within 14 days of notifying us you need to reschedule.
    12) Check-in time is 3:00 PM
    13) Check-out time is 10:00 AM NO EXCEPTIONS! If you have not left the unit by the check-out time you will be charged for another nights stay. The cleaning service needs time to clean for the next guests.
    14) We gladly accept Mastercard, Visa, Discover Card and American Express and personal checks, However if you make a reservation and your arrival is 10 days or less, we will not be able to accept a personal check. There is a $5.00 processing fee.
    15) We cannot issue refunds due to equipment malfunction, power failure or cable and satellite problems, however we will do our best to see that the problem is corrected as quickly as possible.
    16) Should we experience any type of winter inclement weather, we will ask that you contact us for advisement. Pigeon River Cabin Management Services will not be responsible for any damages to personal property caused by weather conditions.
    17) All rent and fees must be paid in full 15 days from arrival date,(except holidays) or at the time of booking cabin (if booked within 15 days of arrival) or your reservation WILL BE SUBJECT TO CANCELLATION.
    18) HOLIDAY RESERVATIONS……. Reservations made for any holiday must be paid in full 30 days prior to arrival date or at the time of booking (if booked within 30 days of arrival). Reservations not paid in full 30 days prior to arrival WILL BE CANCELLED. Reservations for holidays may not be rescheduled within the last 30 days prior to arrival. Any holiday reservations cancelled within the last 30 days prior to arrival date will result in loss of ALL MONIES PAID. No exceptions.
    19) You will need let us know how may people will be staying at the property. We do not charge per person. but each property has a maximum sleeping capacity. NO HOUSE PARTIES!
    20) Guests agrees not to charge long distance calls, or order pay per view movies.
    21) The renter fully understands that the unit owner or the rental agency will not be responsible for accidents or injury of any kind to the guest or for the loss of money, jewelry, or valuables of any kind.
    22) Please leave the key to the unit in the key box at the unit at the time of check-out, there is a $20.00 charge for all keys that are not left in the box at the unit.
    23) Leave the unit in reasonable condition, similar to how you found it. Clean up any major messes, we do reserve the right to charge extra for excessive cleanup. We only ask that you be reasonable about how you leave the property. Dishes must be washed, dried and put up, please don’t put away dirty dishes or utensils. We ask that all used towels and wash cloths be put into the tub, All trash must be taken to the dumpster if staying in Douglas Lake Resort (Located on Carroll Hill Lane) or to the outside trash cans if you are staying in any other cabin. **** DO NOT LEAVE TRASH OUTSIDE WHERE ANIMALS CAN GET IT. THESE AREAS ARE CONSIDERED TO BE BEAR HABITATS. ****
    24) DO NOT THROW TRASH OR CIGARETTE BUTTS OFF OF THE DECKS. Please have consideration for the other guest in the area. Put ALL your trash in the trash cans. Help us keep our part of the Smokies clean.
    25) If you paid a damage deposit instead of providing us with a valid credit card and a state issue ID, when you check out and the cabin has been inspected and there are no damages or excessive cleaning, then you will be issued a refund by a check and it will be mailed to the address that we have on file. If deposit was paid by a credit card and its been less than 30 days since we got approval then you will need to wait until the 30 days has expired, if it has been more than 30 days since we charged you for the damage deposit then it will be promptly refunded to you after you check out, all refunds will be mailed out to you in 3 days of departure.
